About the Position
The Proposal Writer & Communications Specialist will spearhead and create proposals and communications program to drive brand awareness and new business. The final candidate will deliver high quality, brand-appropriate, accurate and timely work to meet business goals.
Proposal Writing (60%)
  • Interpret procurement documents and take the lead on timing, writing, presentation and submission of JRS’ responses for formal solicitations (proposals, qualifications or expressions of interest). Work may include:
    • First-time response to solicitations from large public-sector clients (requiring careful strategizing and full involvement of company principals).
    • Unusually complex, with identified high-risk components and needing a strong understanding of procurement requirements, regulations and legalities.
    • Large-value, non-standard solicitations requiring a new or unusual approach to be effective and meet solicitation requirements.
  • Assist technical personnel & other staff who are preparing proposals and solicitation responses.
  • Review public project postings, identify opportunities, notify appropriate internal personnel and coordinate the necessary response to meet deadlines.

Other Communication & Marketing Tasks (40%)
  • Develop and implement communication plans and initiatives.
  • Develop, monitor and update firm’s brand identity; lead on conveying of key messages and defining/implementing company documentation style guides.
  • Provide advanced copywriting and copyediting in support of achieving JRS’ communications objectives, ranging from strategy documents to staff and company profiles, and industry articles.
  • Independently develop and implement small adjustments and propose major adjustments to company directors with respect to firm’s marketing plan to maintain a fresh, active brand presence and generate client and industry confidence.
  • Create and coordinate online content management for blogs, social media and website.
  • Design and maintain database monitoring marketing performance, proposal success rates and past project information for marketing purposes.
  • Work collaboratively across the organization to implement integrated communication and marketing strategies.
  • Develop systems, templates, policies, processes and procedures to ensure consistency of appearance and quality across all of JRS’ internal and external documents.
  • Assist internal stakeholders with design and development of effective presentations for client, general marketing and professional presentation purposes.
  • Undertake special projects as may be required to fulfill company goals.
  • Implement and follow JRS brand guidelines on visual layout, content, and controls for JRS’ generic proposals, as well as structure and visual layout for formal solicitation responses.
  • Provide substantive and copy editing of JRS team members’ technical articles, presentations and whitepapers.
  • Ensure consistency with JRS’ policies and compliance with general best practices for technical communication.
  • Coordinating the creation of business cards, signage, presentation and event materials, event planning, association marketing.
  • Additional responsibilities as assigned.

  • Diploma or degree in English, Technical Writing, Marketing, Communications or a related field
  • Three to seven years in a related position, with preference given for understanding or experience with a technical or engineering environment.
  • Excellent writing skills, with preference for those with proposal writing skills.
  • Proficient with Microsoft Office, web/social media platforms and presentation development
  • Ability to work independently and with a team.
  • Excellent organizational, project management and time management skills.
